A Day in the Life of a Property Manager at KNIGHTSBRIDGE


What does a property manager actually do?

The short answer is: almost everything. The longer answer is that no two days are ever the same.

One morning might begin with a property inspection in Knightsbridge, followed by a contractor meeting in Mayfair, a call with an overseas client and a refurbishment budget that needs reviewing. The afternoon might involve an urgent heating issue at an estate in Surrey, and by the evening, the priority could have changed completely.

This is the reality of property management at KNIGHTSBRIDGE.

8:00am: The day begins before the client does

For many of our Members, London is not their primary residence, they may be in the Middle East, the United States, Europe or elsewhere in the world. That means our day often starts by checking what has happened overnight.

Our in-house software provides the team with a detailed record of each property, including inspections, maintenance and outstanding tasks. This means that the entire team can have visibility of what is happening, rather than relying on one person’s memory or inbox.

9:00am: The property inspection

A property inspection is never simply a walk around the house, we are looking at the details.

For larger estates, this becomes considerably more involved. There are mechanical systems, security, grounds, staff areas, outbuildings and specialist equipment all need consideration. Sometimes, the inspection reveals nothing – that is a good day.

Sometimes, it reveals something that needs immediate attention – that is when the real work begins.

10:30am: Checking in on a refurbishment project

Property management does not stop at maintenance. When a property requires a larger transformation, our Client Managers can oversee the project from initial budgeting through to completion.

At 10:30am, this might mean checking in on a refurbishment project, speaking with contractors, reviewing progress against the schedule and making sure the next stage of works is ready to proceed.

For example, on a £250,000+ duplex penthouse near Hyde Park, our team coordinated a wide range of works throughout the property, including the repainting of selected rooms, new carpeting, bespoke carpentry, decking works, a full AV upgrade and the installation of soft furnishings.

With multiple specialist contractors and suppliers involved, the project required careful scheduling, close contractor management and constant communication. The Client Manager oversees the moving parts, reviews costs and budgets, coordinates access and resolves issues before they become delays.

This could mean checking that preparation and painting works have been completed to the required standard, confirming that carpet installation is ready to proceed, reviewing progress on external decking or coordinating with specialist joinery and AV contractors. Each element needs to be considered alongside the wider programme so that one delay does not hold up the next stage.

The objective is simple: the client should not have to become the project manager. Whether reviewing a contractor’s progress, checking the quality of completed works, coordinating different trades or making sure the next stage is on schedule, our role is to keep the project moving and the client informed.

Following completion, the apartment continues under our ongoing home management service, providing the client with continuity and long-term support.

Stepping in when the usual route fails

The townhouse we manage within a gated residential estate in Chelsea was experiencing ongoing issues with its intercom system. As the system fell under the remit of the estate management team, they initially attended on several occasions to try to resolve the problem.

However, with the ageing system proving increasingly difficult to repair, the issue remained unresolved.

At that point, we advised the client that it would be best for us to take ownership of the issue ourselves. Drawing on our established relationships with trusted AV specialists, we were able to secure priority support, and the issue was successfully repaired over the course of several days.

That is a good example of why having the right relationships and specialist contacts matters. When an issue cannot be resolved through the usual channels, being able to step in and find the right solution can make all the difference.

12:30pm: Lunch, if there is time

Property management is not a desk job, client Managers are constantly moving between properties, contractors, suppliers, engineers, household staff and clients.

2:00pm: The work nobody sees

Some of the most important work happens behind the scenes. A Client Manager may be checking utility tariffs, reviewing maintenance schedules, coordinating insurance requirements, negotiating contractor rates or investigating an unexpected charge.

3:30pm: The property suddenly needs to become a home

An overseas client might send a simple message: “We arrive on Friday.”

That sentence can trigger an enormous amount of work, including:

For one KNIGHTSBRIDGE client, an empty London property was transformed into a fully functioning home in just four days.

Broadband was installed, locks were changed, the garden was redesigned, accessories were sourced, electrical and gas checks were completed, the property was deep cleaned and the fridge stocked.

The client simply arrived home.

They did not see the four days of work behind it.

And that is exactly how it should be.

5:00pm: The refurbishment meeting

Property management does not stop at maintenance. When a property needs a larger transformation, our Client Managers can oversee the project from the initial consultation through to completion.

That can involve architects, interior designers, engineers, contractors, suppliers and furniture specialists.

One Mayfair project managed by Reena Patel involved a £100,000 refurbishment of a two-bedroom apartment, including new flooring, redesigned bathrooms, kitchen upgrades, lighting improvements and compliance checks.

The objective is always the same. The client should not have to become the project manager.

6:30pm: The unexpected call

Luxury property management requires flexibility because the property does not operate according to office hours.

Sometimes the solution is simple, sometimes it requires ten phone calls and sometimes it requires bringing together five different specialists.

The important thing is that the client knows someone is dealing with it.

8:00pm: The property manager’s day is not really finished

The final task might be updating a report, checking that a contractor has completed a job, confirming an arrival preparation and making sure tomorrow’s priorities are in order

So, what does a property manager at KNIGHTSBRIDGE actually do?

And, above all, we take responsibility.

Our clients may be thousands of miles away, but they should never feel that their home is.
